How do I go about offering a place?

If you are ready to offer a place, please use the email facility within the OSM joining list to contact the parent rather than using your normal email client. This will ensure there is an audit trail of communication and prevent parents from being contacted by two groups at the same time. It also allows the Joining List administrator understand who has been contacted.

Here are the the steps for offering a place:

  1. Identify the young people/person in your catchment area whom you wish to offer a place
  2. In the personal details window make sure you change the view to grid view and select the members you wish to email by clicking the text box by the young persons name. Make sure you send emails by section due to specific information being required in the template
  3. From the sidebar in the right hand side click "Send Email"
  4. Use the Template feature at the top right of the screen to automatically insert the offering a place newsletter
  5. Fill out all details specified in bold (please do not change the wording in brackets as this affects the data pulled)
  6. Send the email and confirm
  7. Return to the person details tab/view and for the young people you have offered a place, update the 'Group Offer' field under personal details with YYYY.MM.DD-Offered-GROUP
  8. Keep up to date with the places offered and update the Group Offer column where applicable using the details set out in the Managing Placement Document
